Q. What is YO PEDIA?

YO PEDIA is a software that allows you to effectively tackle INFORMATION OVERLOAD. It lets you access and manage everything you do on the internet and desktop through ONE convenient window.

YO PEDIA solves several common problems that computer users have today.

Q. Ok. So what are the problems?

1)There are too many digital assets to be handled - e-mails, documents, social networking, photos, music, movies, RSS, chat, mobile communication, etc.

2) Digital assets are scattered across computers, the internet, mobile devices, cameras, and external storage drives.

3) Organizing, finding, making intelligent use of, and building relationships between different digital assets is a chore, or just not possible.

4) Toggling between different windows to do different things is bothersome.

Digital assets and choices will only increase with time, and so will COMPLEXITY!

Q. And how does YO PEDIA solve the above problems?

1) YO PEDIA provides a single interface for multi-tasking. So, whether you creating or accessing e-mails, creating Microsoft Office, or Open Office items on your computer, documents in the cloud using Google Docs or ZOHO, browsing the internet, accessing Facebook or Twitter, making Skype calls or sending a text message (SMS), creating music or video playlists, or podcasts; YO PEDIA lets you achieve all of the above from its single interface.

2) YO PEDIA takes away the need to manage data using multiple folders. It uses just ONE folder to manage your digital life; while its smart 'locating' mechanisms ensure that you quickly locate what you are looking for.

3) YO PEDIA saves many clicks! It provides a 'one-click' ability to perform routine tasks. To save a document, most often, computer users need to make multiple clicks (File> Save As> My Documents> Vacation in Paris> etc. etc. etc.). With YO PEDIA, you can save a file with just ONE click!

Q. What else will YO PEDIA do for me?

With YO PEDIA:

You can save your Facebook posts and Tweets offline under ‘Subjects’. This means that you'll be able to create your own digital diaries for future use. Not only that, you'll be able to share these diaries as well.

You can make decisions related to various situations. With features like 'YO PEDIA Alerts', you'll quickly be reminded of an outstanding payment that is due, or what movie to watch over the weekend.

You can easily compare search results brought up by search engines like Google, Yahoo, and Bing.

You can manage your websites on Google Sites with ease using YO PEDIA’s YO Notes. YO Notes are a great way to make notes and record stuff. You can also listen to your YO Notes.

You can upload items to Google Docs, ZOHO, YouTube, Picasa, MS Groove, Flickr, Skype, and more...

You can paste any content (from sources like documents or web pages) to a Word document without even opening Word. Just right-click, and make a choice. What a time-saver!

You can convert documents to pdf with one click!

You can convert documents to Podcasts with ease. This way you can listen to large documents on your mobile devices.

You can preview items as you browse through the YO PEDIA grid. YO PEDIA also captures a screen shot of your web favorites. This helps you locate the favorite you are looking for without going to the website.

You can share items with other users as a YO PEDIA database File. This saves the recipient the trouble of organizing these all over again.

You can archive or hide items with ease.

Q. With YO PEDIA collating all this new kind of information; tweets, facebook, rss, sms etc., can I delete Items with ease?

Absolutely. YO PEDIA allows multiple deletion of items. Everything you delete is sent to YO PEDIA's Recycle Bin. It’s only when you remove stuff from there, that it gets permanently deleted (files, however, are sent to the Windows Recycle Bin)

Q. Just ONE folder? Can YO PEDIA save and handle a large number of files with just one folder?

Sure thing! Not only can the folder hold almost an unlimited number of files, with YO PEDIA, it becomes possible to save items like E-mails, Facebook, posts, Tweets, Text Messages (SMS), and RSS as well.

Q. But I like folders and hierarchies, and I've got thousands of different kinds of files and e-mails, all categorized. I've spent, and continue to spend so much effort organizing them. What will happen to all of that?

YO PEDIA does not force you to give up the way you save and manage your digital assets. Feel free to create folders and hierarchies as you normally do. YO PEDIA will still provide you with all its features, as it would have, had you saved your files in the ‘one YO PEDIA folder’.

And yes, YO PEDIA will also help you link your existing files and folders to itself without moving them, or even touching them for that matter.

Q. I always thought that if I manage a well structured hierarchy of folders, I’ll find my files faster. That’s why I spend so much time.

When people search for something on the web, are they really concerned where the pages are being brought from? Folder management tends to give you a ‘sense’ of feeling organized! And besides, the more ‘organized’ you try to remain; the slower is your process to save your file (you need to remember the folder hierarchy). Again, you’ll never be sure which folder should be the ‘parent’ folder, and which should be the ‘child’. It’s very possible that for one project or topic, a folder is marked as a ‘parent’, while for another project and topic, it becomes a ‘child’. Then, there are cases of a lot of duplication of files, since you may want to keep the same document in multiple folders. So, really, folders don’t make things easy for you.

Q. Ok - so, where is this 'one YO PEDIA folder'? Can I designate my own folder (and its location) to be the 'one' folder?

When YO PEDIA is installed on your computer, it creates the 'one YO PEDIA folder'. However, you can designate ANY folder you like to be the 'one YO PEDIA folder'.

Q. I've got files in multiple places. Some are on my external drives. I also have several of them on Google Docs and ZOHO. What happens to them?

Your files can be anywhere. Once they are linked to YO PEDIA, you'll be able to manage them through YO PEDIA with ease. In fact, YO PEDIA makes it very easy for you to manage your files on Google Docs and ZOHO as well. And, speaking about Google Docs and ZOHO, YO PEDIA lets you create a back-up of your items on Google Docs and ZOHO on your computer.

Q. Aah..back-up! Does YO PEDIA provide me with a back-up utility?

Sure. YO PEDIA even lets you schedule your back-up. It saves every 'locating' mechanism that you've associated with your files, e-mails, favorites, sms, tweets, etc. to the back-up file.

Q. Why is the word 'Locate' being used instead of Search?

SEARCHING is looking for something that, you didn't know, existed. Results may therefore seem relevant. LOCATING is finding something that you know exists, but didn't know where. Results therefore are relevant. YO PEDIA locates!

Q. So, what are these 'locating' mechanisms?

YO PEDIA offers you multiple locating mechanisms. It lets you tag with great ease. YO PEDIA lets you add tags to multiple items at a go. Besides tags, YO PEDIA allows you to 'color' your items, 'cross-link' them with other items, create 'workspaces' (to quickly locate items you may need for a meeting), and 'rate' them as well. People have different styles and preferences to look for things. YO PEDIA allows you to use any or a combination of the above locating mechanisms.

YO PEDIA also offers smart filtering and sorting. It lets you locate items by a date range, file type, whether it’s 'Active', 'Archived', or 'Hidden', what category or topic it belongs to, etc...

Q. I understand what tags and rating are. Can you tell me more about the ‘color’, ’cross-link’, and workspace mechanisms?

Using the color mechanism you can color multiple items with colors of your choice. You can even describe colors. For example, all items (documents, e-mails, pictures, facebook posts, tweets, rss, etc.) related to a legal issue may be maintained as ‘PINK’, or items related to a project that you are working on, may be maintained as ‘GREEN’. Imagine an enterprise, where people are speaking with ‘color’ – “Hey Liz, can you pass me the PINK items from Jan-Mar”?
The cross-linking feature allows you to cross-link one or more items with each other. So, when you’re looking at one item, you are prompted that other related items exist as well. Unlike folders, you do not need to keep these related items ‘together’. They can be at different locations (some could be on Google Docs or ZOHO), yet, YO PEDIA lets you cross-link them with other items.

YO PEDIA 'Workspaces' is a neat feature to keep things ‘together’ virtually. Being able to add a description to a workspace makes it very convenient for you to keep different items ‘together’ without making multiple copies. An announcement to a set of customers that needs to be associated with every customer does not have to be duplicated. Just mark the announcement to different workspaces.

Q. How is YO PEDIA different from desktop search like Windows search or Google desktop search?

Both Windows and Google desktop search help find common items like files and e-mails. Let’s go back to the 'locating' issue as explained earlier. With YO PEDIA's smart locating mechanisms; you are a lot more likely to find 'the' item you were looking for. YO PEDIA also locates items like Facebook posts, Tweets, and RSS feeds.

Q. Does YO PEDIA work with MS Outlook? What if I don’t have Outlook?
